1. How to make the request

Write to us at info@aamal.eu, the address already used for privacy questions. State clearly that this is a request to delete personal data, and include the following:

  • Your name and, where relevant, the company name
  • The email address and/or phone number you used to contact us
  • If the exchange took place on WhatsApp, the number you wrote from (Ordosia receives these messages at +32 451 09 39 87)
  • A short description of what you want deleted (the conversation, the contact record, or both)

You may also send the same request by WhatsApp, to the same number. To avoid acting on someone else's file, we may ask you for a simple confirmation (for example a reply from the number or address already known to us).

2. What data is covered

On request, we delete or anonymise the personal data we hold about you, to the extent that no legal obligation requires us to keep it. This covers in particular:

  • Information sent through the site's contact form (identity, email, phone, message)
  • WhatsApp exchanges: phone number, message content, and any media you sent us
  • The corresponding record in our internal CRM (Odoo), where it was created from those exchanges
  • Any working copies we made of those items in order to reply to you

We do not sell, rent or pass this data on to third parties for commercial purposes. WhatsApp is operated by Meta: the messaging channel transits through its infrastructure. The deletion we carry out covers the copies Ordosia keeps to handle your request; it does not replace the deletion settings you can apply in the WhatsApp application itself.

3. Processing time

We handle the request within one month of receiving it, in accordance with Article 12 of the GDPR. If the request is complex or we need to verify the requester's identity, that period may be extended within the limits set by the regulation; we will then inform you.

4. Confirmation

When the deletion or anonymisation has been carried out, we confirm it by email to the address used for the request — or by WhatsApp if that is the only channel we have. If part of the data must be retained (see below), we say so in that confirmation, with the reason.

5. What may be retained

The right to erasure is not absolute. We may retain certain data where Belgian law requires it, in particular:

  • Accounting and tax records if you are or have been a client (Belgian statutory periods, generally 7 years after the end of the relationship)
  • Items needed to establish, exercise or defend a legal claim, for the time strictly required

These exceptions, where they apply, are stated in our confirmation. Everything else is deleted or anonymised.
